LAWFUL BASES

We only use personal information where we have an appropriate lawful basis for doing so.

Contract — where using your information is necessary to provide a service you have purchased, arrange a booking, respond to steps you have asked us to take before purchasing, or otherwise fulfil our agreement with you.

JUNIOR PLAYERS

Information relating to children and young people.

Cricket Mind works with junior as well as adult cricketers, so we may process personal information relating to children and young people.

A parent or guardian may book coaching on behalf of a junior player and provide information required to arrange and deliver the service.

The level of parent or guardian involvement in coaching can vary depending on factors such as the player’s age and what the player and parent feel is most appropriate. For example, a parent may sometimes be involved in the first session, with later sessions taking place directly with the player.

We aim to handle information relating to junior players carefully, transparently and in a way that is appropriate to their age and circumstances.

COACHING RECORDS

How we manage client and coaching records.

We keep appropriate records to help us manage and deliver our coaching services.

These may include:

  • Basic client details.
  • Coach allocation.
  • Appointments and session history.
  • Sessions remaining.
  • Performance goals or challenges discussed.
  • Practical strategies or actions agreed during coaching.
  • Administrative notes relevant to the coaching relationship.

Access to these records is limited to people who reasonably need the information to provide or administer the service.

We do not use coaching records for advertising or sell them to third parties.

PAYMENTS & BOOKINGS

How bookings and appointments are handled.

Payments are processed using Stripe.

When you make a payment, some information is provided directly to Stripe to process the transaction. Cricket Mind does not need to store your complete payment-card details itself.

Appointments are primarily scheduled through Calendly. Information needed to arrange your appointment may therefore be processed through Calendly.

Depending on your coach and the session, online coaching may be delivered using services such as Zoom, Google Meet or Microsoft Teams.

These providers process information in accordance with their own privacy terms and security arrangements.

WEBSITE FORMS

Information you submit through the website.

We use WPForms to collect information submitted through forms on the Cricket Mind website.

Information you submit may be stored within our WordPress website and used for purposes such as responding to enquiries, processing bookings, managing client records and providing coaching services.

Please do not include unnecessary sensitive personal information in an enquiry or form submission.

COOKIES & ANALYTICS

How we understand website use.

We use cookies and similar technologies to help the website operate and to understand how it is being used.

We use Google Analytics / Google Site Kit to obtain information about website use, such as visits, pages viewed and general usage patterns.

Where required, non-essential cookies and analytics technologies are controlled through our cookie-consent system.

LOCATION & PRICING

How we personalise parts of the website.

Cricket Mind serves players internationally.

Our website may use information about your approximate country or location to personalise parts of the website, including showing relevant prices and currencies.

This does not require us to know your precise street address or physical location.

Where cookies or similar technologies are involved in this functionality, they are handled in accordance with our cookie settings and applicable requirements.

MARKETING

Newsletters and email communication.

We use MailerLite to manage newsletters and email marketing.

We will only send marketing communications where we have an appropriate lawful basis to do so.

Where you have subscribed or otherwise consented to receive marketing, you can unsubscribe at any time using the unsubscribe link included in our emails or by contacting us.

Unsubscribing from marketing will not prevent us from sending service-related communications that are necessary to manage a booking or coaching relationship.

We may share personal information with trusted service providers where this is necessary to operate Cricket Mind or provide our services.

  • Booking, payment and accounting records: normally up to 6 years, or longer where required by law.
  • Marketing information: until you unsubscribe or we determine that the information is no longer required.
  • Analytics information: according to the retention settings applied within our analytics services.
  • Cookie preferences and consent records: retained for as long as reasonably required to manage or demonstrate those preferences.

We may retain information for longer where there is a legal requirement, an unresolved dispute or another legitimate reason to do so.
